Terms and conditions

1. What these terms cover

These terms apply to the Tech & AI Expo Zanzibar 2026, held 24 to 26 September 2026 at the Golden Tulip Airport Hotel & Spa, Zanzibar, Tanzania, and to the use of techaiexpo.co. By buying a ticket, booking a stand, submitting a nomination, casting a vote or entering the hackathon, you accept them.

2. Tickets and admission

• Tickets are sold through our ticketing platform. Your booking is confirmed when payment clears and you receive a confirmation with a QR code.
• A ticket admits one named person. It is not transferable without telling us first, so we can reissue it in the new name.
• Day access is enforced. Ordinary and Student tickets admit you on days 1 and 2 only. Entry on day 3, the Presidential Reception and the awards ceremony, requires a VIP ticket or a Presidential Reception pass. This is checked at the gate and is not negotiable on the night.
• Student passes are free and limited. They are issued in the order they are claimed until the allocation is exhausted, after which registration closes. A confirmed place is held for the person named on it and is not transferable. You must bring proof of current enrolment, such as a student ID, along with your reference. We may refuse entry without it.
• Bring photo identification matching your ticket. We may refuse entry where we cannot confirm identity.
• Complimentary tickets, including those issued to hackathon finalists, carry the same terms.

3. Conduct at the event

We want an event where everyone can take part. We may refuse entry to, or remove without refund, anyone who:

• Harasses, intimidates or discriminates against another attendee, speaker, exhibitor or member of staff.
• Behaves in a way that endangers others or damages the venue.
• Ignores instructions from event staff or venue security on safety matters.
• Attempts to gain access to an area their ticket does not cover.

If something happens to you or you see something, tell any member of event staff or email byte@techaiexpo.com.

4. Changes to the programme

The programme, speakers, session times and stage assignments may change. We will publish changes as early as we can. A change of speaker or session is not on its own a reason for a refund.

If the event has to be postponed or cancelled for reasons outside our control, the refund policy sets out what happens.

5. Exhibitors and sponsors

• Stand bookings are reviewed before payment is taken. We may decline a booking, in particular where a sector claim or Startup Village eligibility does not hold up.
• Public sector and private sector rates differ. Booking at the wrong rate means the difference becomes payable or the booking is cancelled.
• Stand allocation within a pavilion is at the organizers' discretion. We will not move you to a different pavilion without asking.
• You are responsible for your stand, your staff and your equipment, including insuring them.
• Sponsorship is arranged directly and invoiced. Sponsorship terms are set out in the individual agreement, which takes precedence over this page where the two differ.

6. Awards, nominations and voting

• Anyone may submit a nomination, including for themselves. Entries close at the published deadline, which is enforced by our servers. Late entries cannot be accepted.
• Shortlisting is at the independent panel's discretion. The panel's decision on the shortlist is final.
• Voting is one vote per category per verified phone number. We may discard votes that show signs of automation, bulk numbers or other manipulation, and may withhold a category result where the vote has been compromised.
• Running totals are not published before voting closes. Winners are announced at the Presidential Reception.
• By submitting a nomination you confirm the information is accurate to the best of your knowledge, and that you may share any personal details you provide about someone else.

7. Hackathon

• Teams are two to five people, with at least one African member and one named team lead. Eligibility is checked at registration.
• One track per team, chosen at registration and fixed thereafter.
• Fifteen finalists are selected by the judges, whose decision is final. Finalists receive complimentary Expo tickets. Travel and accommodation are not included.
• Final submissions must arrive by the published deadline. The portal closes at that time.
• You keep the intellectual property in your work. Entering transfers nothing to the organizers or sponsors. You do grant permission to show, describe and photograph the work in coverage and promotion of the event.
• Prizes are awarded in kind and cannot be exchanged for cash.

8. Photography and filming

The event is photographed and filmed. By attending you accept that you may appear in images and recordings used to report on and promote the Expo. If you would prefer not to appear, tell a member of the media team at the venue and we will do what we reasonably can.

9. Using this website

• Do not attempt to interfere with the site, its voting mechanisms, or other people's use of it.
• Do not submit anything unlawful, defamatory or that you do not have the right to submit.
• Content on this site belongs to the organizers or their licensors. Exhibitor and sponsor marks belong to their owners.

10. Liability

We take reasonable care in running the event and this site. We are not liable for your travel or accommodation costs where the event changes or is cancelled, for loss or damage to your property at the venue, or for anything arising from your reliance on information published here that we have marked as provisional or unconfirmed.

Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot be limited by law.

11. Governing law

These terms are governed by the laws of the United Republic of Tanzania, and the courts of Tanzania have jurisdiction.
